This guide supports hiring managers in understanding the process for reviewing or updating an existing professional position, including the requirements, submission process, and review steps.

Following this process helps ensure position descriptions accurately reflect current responsibilities, organisational structure, and role requirements, and remain aligned with the appropriate HEW classification level.

Before You Start

Before submitting a position review:

  • Confirm the reason for the review (e.g. position description update or classification review)
  • Be clear on what has changed in the role
  • Consider whether the position continues to accurately reflect its current HEW classification level and responsibilities
  • Gather relevant background information and supporting context
  • Focus on duties that are performed regularly and form a significant part of the role, rather than occasional or infrequent tasks

Your P&C Business Partner can provide advice and support throughout this process.

Process Steps

Navigate to:

Staff Connect → My Forms → Position Review

Choose the appropriate option:

  • Update Position Description
    • Use this option where changes are minor and do not impact the core nature or classification level of the role.
    • As a general guide, if approximately 80% of responsibilities remain the same and 20% change, a classification review is generally not required.
  • Classification Review
    • Applies where the role has changed significantly (in responsibilities and scope), and the role requires re-evaluation.
    • Used to request reclassification of roles due to changes in responsibilities, or where the position has not been reviewed within the last two years.
  • Search for and select the position number you wish to review
  • Confirm position details before proceeding

Include:

  • The reason for the review (Working Notes/Comments)
  • A summary of the proposed changes
  • Relevant organisational or business context

Clearly describing the changes will support faster review and decision-making.

Review the position description and update any sections that no longer reflect the current role.

Ensure the position description accurately reflects the responsibilities, scope, and requirements of the position as it currently operates.

For classification reviews, complete the Position Evaluation sections.

Assessment areas include:

  • Decision Making
  • Thinking Challenge / Problem Solving
  • Communication and Interpersonal Skills
  • Managerial Responsibilities

Select the statement that best reflects how the position operates most of the time.

Where multiple statements appear relevant, select the option that best reflects most of the position's responsibilities and level of responsibility.

  • Submit the form in Staff Connect
  • Approval workflow is configured within the system

The Talent Team will coordinate the review and classification process across People & Capability (P&C).

Additional information, clarification, or updates may be requested during the review process. This may involve an iterative process until an appropriate outcome is reached.

Review Timeframes

  • Position description updates can generally be reviewed and finalised more quickly.
  • Classification reviews may take longer, as additional assessment of the role is required.

Once the review has been completed:

  • The Talent Team and Workforce Systems Team will complete the remaining administrative steps to finalise the position in Staff Connect.
  • You will receive the approved position description and any confirmed classification outcome via a staff connect email.
